    Job Description

    This is a temporary position filling in for maternity leave. Possibility of ongoing contract work in the future after engagement term completes.  This area of the business is growing.  You will work closely with the Director of Events and Programs in leading the management of two major company events, important regional trade shows, as well as day to day tasks.  This role should feel comfortable stepping in and taking charge in filling the gap of our Event Marketing Manager while she is out.  This is a leadership role that requires experience and decision making in planning and running top quality events.  You’ll have the full support of the existing events team, but we’re looking for a go getter that can help take ownership of key responsibilities.  Mitchell is known for its collaborative and fun style,and innovation in running industry events.  This is a fun and exciting opportunity to grow your portfolio of events and working with a top notch team.

     

    Position Description

    The Event Marketing Manager is responsible for planning and executing corporate meetings and events by optimizing and strictly managing expenses while meeting business, sales, and marketing objectives and expectations. This seasoned professional holds a high profile and fast paced position within the company and regularly interacts with senior management as well many other areas within the company. This position develops event and exhibit strategies aligned with corporate objectives and overall marketing and sales goals, while ensuring a positive corporate image is reflected. Strong personal skills are required with the ability to manage and effectively communicate both internally as well as externally with outside vendors. The Event Marketing Manager shares responsibility for managing the event calendar, developing and presenting project and expense plans and proposals, site selection and contract negotiation, pre and onsite show logistics, as well as drive and design appropriate messaging and configuration/graphic representation for each show. It is essential to the success of this position the incumbent use proven experience planning quality meetings and events and managing multiple projects at one time.

     

    Duties & Responsibilities:

     

    • Develop project plans for each event by soliciting input from various groups- sales, product management and marketing, HR, Corporate- to identify requirements, expectations and goals of each meeting or event.
    • Research and present internal proposals and available options based on requirements and goals vs. available budget. Negotiate contracts and fees related to the event specifications and secure venues or event booth space.
    • Oversee all tasks within event project plan by coordinating meetings with cross-functional teams, assigning tasks to appropriate teams/members, and actively following up to ensure completion.
    • Ensures all department activities are successfully achieved within budget and delivered on time.
    • Manages the development of event communications, agenda, promotional materials, online registration, show guides, signage, giveaways/awards, food and beverage orders, entertainment, décor, and audio visual needs.
    • Oversees and manages show or program logistics (shipping, labor, ordering of show services, staffing, room blocks, securing booth space)
    • Audit, reconcile, and process invoices and initiate inter-company cross-charges and post event analysis and reporting on results and cost.
    • Other duties as assigned and/or required.

    Qualifications

    Prior Experience: At least 5-7 years’ experience planning & operating high-quality meetings, conferences, and trade shows with significant expense, contract negotiation, and project management responsibility. Experience with event and tradeshow management from program proposal to onsite operations is a must.

     

    Knowledge, Skills and Abilities:

    • Proven track record of executing conferences and events working with cross functional teams in a fast-paced environment.
    • Strong sense of commitment to Marketing team, as demonstrated by the ability to identify key project stakeholders, to consolidate input, and effectively communicate the final go-forward plan to those involved.
    • Exceptional organizational skills, as demonstrated by the ability to create budgets and to effectively track budget status on a monthly basis, and to effectively manage multiple projects.
    • Must be a hands-on, high output self-starter, as demonstrated by the ability to identify unmet needs in the event and tradeshow functional area, and take the initiative to develop solutions.
    • High degree of initiative, energy, and self-motivation and the capability to work independently yet team-oriented with a collaborative work style.
    • Must have a professional demeanor with strong interpersonal and communications skills both verbal and written.

    Written Abilities:  Proficient grammar, sentence structure and written communication skills.

    Technical Experience:

    • Proficient at Microsoft Office, specifically Microsoft Excel for expense forecasting and budget management.
    • Knowledge of registration software and tools a plus.
    • Strong analytical and organizational skills.
    • Strong problem solving and critical thinking skills.
    • Strong supervisory and managerial skills.
    • Ability to meet deadlines and be flexible.

    Licenses or Certifications: CMP preferred

    Education: Bachelor’s degree or higher in hospitality management, business, communications, public relations, marketing or event management or equivalent experience preferred.
